Rhetorica transcribes conversations you choose to record. It uses the transcript to create scores, coaching tips, and Skill Reports. This page explains what we collect, who processes it, how long we keep it, and how to delete it. The app is in final testing. This is the policy planned for launch.
Want to delete your Rhetorica account or conversation data? Go to deletion instructions. You can send a request without signing in or reinstalling the app.
The short version
- Nothing is recorded until you start a session, and recording stops when you end it.
- Before every session, the app asks you to confirm that everyone present knows they’re being recorded and is happy about it.
- Audio is transcribed live, then discarded. We do not keep a recording. The transcript, analysis, and speech measurements remain until you delete the conversation.
- Transcripts and Skill Reports are yours, kept until you delete them.
- We never use your conversations to train AI models. We never sell them or use them for advertising.
- You can delete any conversation, or your whole account, at any time.
What the app collects
Your account. You can sign in with Google, Apple, or an email address and password. We keep your email, account identifiers, and name if provided. Supabase handles authentication and stores a protected password hash for email/password accounts. Our app servers do not store your password. We do not ask for your phone number, location, or contacts.
Your conversations. For each session you record: a transcript separated by speaker, the analysis built from it (scores, coaching tips, quoted moments), the conversation title, and any speaker names you type in yourself. The audio itself is transcribed as it streams and discarded when the session ends. We do not keep a recording. The app also keeps speech measurements for each speaker: pace, pauses, talk time, and filler words such as “um” and “uh.” Word timings are scheduled for deletion after 90 days.
A consent record. Each time you start or resume a recording, the app stores the fact that you confirmed everyone present knew, the wording you agreed to, and when. It’s kept with the conversation and deleted with it.
Subscriptions and usage. RevenueCat and your app store process purchase history, subscription status, account and transaction identifiers. We use these to manage access, restore purchases, and understand subscription activity. We keep recording usage and billing-cycle totals to manage your allowance and prevent abuse. Your app store handles payments; we do not collect card numbers.
Technical diagnostics. The app and our servers send filtered error and performance data to Sentry to find and fix failures. Events can include the error type, code location, operation, time, app or server version, and a pseudonymous account ID when you are signed in. Sentry receives the request’s IP address to deliver each event. We do not send conversation content, names, email addresses, passwords, or request contents in Sentry events. Mobile reporting runs in release builds. Native crash reporting is disabled.
What we deliberately do not collect. We use no advertising SDKs or cross-app advertising tracking. The app has no always-on or background listening mode. It builds no voiceprints. Speakers are told apart within a single conversation, but nothing identifies a voice across conversations.
How we use it
We use your data to provide transcripts, live coaching, and Skill Reports; manage your account and subscription; measure reliability; and prevent abuse. Purchase information also supports subscription analytics. We never use conversation data to train or improve AI models, sell it, or use it for advertising. Our AI providers are configured to exclude this data from training. See the table below.
Recording other people
Rhetorica listens to the whole room, not just you. That’s why the app blocks recording behind a consent step every session: you affirm that everyone present knows you’re recording and is happy for you to. A visible recording indicator stays on throughout. Recording consent laws vary by country and by US state. Knowing and following the rules where you are is your responsibility, and the app is built for conversations where nobody needs to be surprised.
If someone recorded you
If someone recorded a conversation you joined, the transcript contains your words and a speaker label. It contains your name only if the account holder added it. We also keep measurements such as pace, pauses, and filler words for that conversation. We discard the audio after transcription and do not identify your voice across conversations. The service providers listed below process the audio or transcript. We do not use your words for training, sell them, or use them for advertising. Ask the person who recorded the conversation to delete it. You can also follow the deletion instructions below without creating an account. We will help identify the conversation and assess your request without exposing another person’s data.
Who processes your data
Audio streams through our servers to Deepgram for transcription. OpenAI receives the transcript for analysis. Other providers handle accounts, subscriptions, hosting, diagnostics, or support requests as described below.
| Service | What it receives | Its retention |
|---|---|---|
| Deepgram (speech-to-text) | Audio, streamed live during recording | Opted out of its model-improvement program: keeps content only as long as needed to process each request; technical request logs (no audio or text) up to 90 days |
| OpenAI (analysis) | Transcript text | Not used for training. Copies kept up to 30 days for abuse monitoring, then deleted unless the law requires otherwise |
| Railway (hosting) | Runs our servers and database | Follows the retention table below |
| Sentry (diagnostics) | Filtered app and server errors, operation and timing data, release versions, and a pseudonymous account ID when available. It receives the request IP address. | Error events are kept for 90 days during new-account trials and on paid plans, or 30 days on Free. Performance data is kept for 30 days during new-account trials and on Free or Team. Business plans can keep sampled performance data for 13 months. Retention is set when data arrives. A later downgrade does not shorten existing retention. Sentry backups expire 30 or 90 days after creation, depending on the data type. |
| Supabase (authentication) | Email, optional name, account identifiers and sign-in credentials; no conversation content | Until deletion of your Rhetorica sign-in identity is completed |
| Google and Apple (sign-in) | Sign-in identity; no conversation content from Rhetorica | Their own account policies apply. Rhetorica deletion does not delete your Google or Apple account. |
| RevenueCat (subscriptions) | Account identifier, purchase history, subscription status and store transaction identifiers; no conversation content | Used to manage subscriptions and analytics. Customer-data cleanup forms part of account deletion, subject to applicable retention obligations. |
| Google Play and Apple App Store (payments) | Purchase, subscription and payment information; no conversation content from Rhetorica | Stores keep payment records under their own policies and legal obligations. |
| Google Gmail (deletion requests) | Your email address and the request details you send us | While we handle your request, then up to 30 days after completion |
Providers can process data in the United States and other countries where they operate. Our retention table covers records we control. Store payment records and provider copies follow the separate limits described above.
How long we keep things
| Data | Kept for |
|---|---|
| Audio | Not stored as a recording. Audio is transcribed as it streams and discarded at the end of the session. We do not write audio recordings to disk or cloud storage in production. |
| Transcripts, analyses, Skill Reports, speaker names | Until you delete the conversation or your account |
| Speech measurements (per voice, per conversation) | Until you delete the conversation or your account |
| Word-by-word timings | Scheduled for deletion after 90 days, or earlier if you delete the conversation. Cleanup runs daily. |
| Consent records | As long as their conversation exists |
| Account details (email, name, sign-in identity) | Until account deletion is completed |
| Subscription and recording-usage records | While needed to manage your account and allowance. After account deletion, the limited billing records described next remain. |
| Limited billing records after account deletion | Subscription identifiers, billing-cycle dates, allowance and total usage until the relevant cycle ends plus 30 days. Deleted by the next successful daily cleanup. This prevents purchase restoration from resetting used allowance. These records exclude your name, email, transcripts, reports and per-recording history. |
| Deletion processing records | Identifiers needed to complete your request are removed when cleanup finishes. A minimal completion record is kept for up to 30 days, then removed by the next successful cleanup. These records do not contain conversation content. |
| Diagnostic deletion reference | A pseudonymous ID lets us find linked diagnostics after account deletion. We keep it until review closes, for at most 90 days after your account-deletion request. We remove it on the next successful cleanup. A minimal outcome record remains for up to 30 more days. This record contains no conversation content. |
| Server working caches | Under 24 hours |
| Our server logs (never containing conversation content) and encrypted backups | Up to 30 days |
| Sentry diagnostic events | Under Sentry’s plan-specific periods described above, separate from our server logs |
Delete your Rhetorica account or data
You can delete your account in the app’s Settings, or delete individual conversations while keeping your account. You can also request either type of deletion by email. You do not need to sign in, reinstall the app, or create an account to contact us.
Request deletion by email
- Email rhetorica.app@gmail.com with the subject “Rhetorica deletion request.”
- Tell us whether to delete your whole account or specific conversation data. Include your Rhetorica account email. For a conversation, include its title or approximate date. If someone else recorded you, explain how you took part. Do not send a transcript, password, or full payment details.
- Send from your account email if possible. If you cannot access it, tell us so we can agree another way to verify your request. We check ownership or authority before deletion.
We respond within one month and aim to complete verified requests within that period. We confirm when deletion is complete. If we need more information or time, we explain why and provide next steps. We use your email only to verify and handle the request. Request correspondence is deleted within 30 days after completion.
What is deleted, and what remains
Conversation deletion removes its transcript, analysis, report, speaker names, speech measurements, word timings and consent records from our live database. Account deletion removes these for all your conversations, plus your account details and sign-in identity. We also arrange cleanup with account and subscription providers. Provider cleanup can take longer than the initial in-app deletion; contact us if you need confirmation.
Working caches expire in under 24 hours. Backup copies and our server logs expire within 30 days. Sentry diagnostic events and its backup copies follow the separate periods in the processor table. Contact us if you want us to assess linked diagnostic data for deletion. Limited billing records remain until the relevant billing cycle ends plus 30 days, with removal on the next successful daily cleanup. They contain no conversation content. Store payment records and AI-provider copies follow the limits in the tables above. Deletion is permanent; backup retention does not provide an undo or recovery window.
Cancel a subscription separately
Deleting your account or the app does not cancel a subscription or issue a refund. To stop renewals, cancel through Google Play subscriptions or follow Apple’s cancellation instructions, depending on where you subscribed. You can request deletion while a subscription is active.
Security
Data moves over encrypted connections from your phone to our servers and on to the processors above. Audio is never written to permanent storage. It exists only for the moments needed to transcribe it. Your transcripts and reports are accessible only from your account.
Your rights
You can access, correct, export, or erase your data. You can manage conversations and your account in the app. For erasure, follow the deletion instructions. For other requests, including export, email rhetorica.app@gmail.com and we’ll respond within a month. If you’re in the UK or EU, these are your GDPR rights, and you also have the right to complain to your data-protection authority (in the UK, the ICO).
Children
Rhetorica is not directed at children under 13, and we don’t knowingly offer accounts to them.
Changes
When this policy changes, the date at the top changes with it, and material changes will be flagged in the app before they apply. We will never quietly weaken what’s promised here.
This website
If you allow analytics, this website sends page visits to PostHog. Each event includes the page path and basic browser information. PostHog receives the request’s IP address to deliver it. Our PostHog project currently discards IP addresses from stored events. We do not send your account details, conversations, or URL search terms. We do not record your screen, track clicks, or use this data for advertising. Analytics is off until you allow it, and you can decline without losing access to the site.
We save your analytics choice in your browser. PostHog does not set an analytics cookie on this site. If you withdraw permission, we stop sending new events. On our Free plan, PostHog guarantees access to events for one year and may keep older events longer. You can ask us to help with a data request at the contact address below. Our hosting provider processes technical request data to serve the site. If you email us, we receive your email address and message. Deletion request emails follow the process above.
